Contracts and Compliance Manager

About the opportunity

As Contracts and Compliance Manager, you will manage end-to-end contract processes and support the Chief Operating and Financial Officer in compliance and risk management across the organisation. This pivotal role will involve close collaboration with Program Managers, internal stakeholders, and external partners, ensuring that all decisions are made inclusively, with a big-picture mindset, and with an openness to diverse ideas. The Contracts and Compliance Manager will provide expert advice and pragmatic solutions throughout the contracting process, sharing ideas and welcoming alternative viewpoints from various stakeholders to drive innovative solutions and overcome barriers.

By building strong, sustainable relationships and maintaining awareness of who needs to be involved, you will effectively support the ongoing and efficient rollout of program objectives and operations. You'll also take initiative in resolving matters as they arise, exercising sound judgement and lateral thinking to streamline procurement and contracting processes at every opportunity. While operational process improvement is a shared responsibility across the organisation, the Contracts and Compliance Manager will lead by example, guiding and mentoring program teams to innovate and adapt to changing priorities, all while maintaining composure in the face of time pressures or unexpected events.

Responsibilities include:

Contracts, compliance and risk management

  • Support and oversee contract development and negotiation processes, liaise with contract management staff to ensure compliance with obligations, quality assurance, contract deliverables and reporting.
  • Assess risk and triage contractual/legal issues to agreed escalation points in relation to contracts and program implementation, including effective liaison with outsourced legal counsel.
  • Review third-party contracts, funding agreements, sponsorship agreements, Memorandum of Understanding (MoUs) and Non-Disclosure Agreements (NDAs).
  • Oversee the administrative processes related to compliance with legal, regulatory, and internal policy requirements.
  • Assist program teams in preparing and submitting required reports to regulatory bodies, funding agencies, and internal stakeholders.
  • Maintain the organisation's risk register, ensuring all identified risks are recorded, updated, and monitored for changes.
  • Support and assist the Chief Operating and Financial Officer during internal compliance audits
     

Process improvement and procurement

  • Ensure compliance and risk management practices are fully integrated into relevant organisational processes and decision-making activities.
  • Support processes associated with new funding opportunities, ensuring that compliance and risk factors are considered and addressed during the proposal and implementation stages.
  • Support staff in implementing VCCC Alliance policies and procedures regarding the procurement of goods and services and assist with negotiations if necessary.
  • Support requests for information, quotation, and tender processes from time to time, ensuring procurement thresholds and associated requirements are met.
  • Review and refresh VCCC Alliance procurement policies, procedures, and templates in consultation with the Chief Operating and Financial Officer and other relevant team members. 

About you


You will have significant contract management experience organisational compliance, risk and document management with exceptional attention to detail.

You will have:

  • Previous experience working with funding, grant and/or multi-stakeholder program agreements.
  • Experience working in an organisation reliant on grant and/or government funding for programs/projects.
  • Experience working in a stakeholder-facing organisation, preferably within the education, health and/or medical research sector.
  • Demonstrate a solid understanding of contract law, legal terminology, and various types of multi-party agreements—conflict–of–interest and intellectual property knowledge is an advantage.
  • Excellent written and oral communication skills and the ability to train and coach others.
  • Capable of professionally managing confidential information, with sensitive negotiation skills.
  • Tertiary degree (or postgraduate qualification) in Law, particularly Corporate Law, or Business or a relevant discipline, or significant professional experience in relevant areas.
